In 2017, Accountancy Matters implemented Datamolino as an Intelligent Process Automation solution to scale bookkeeping services for UK golf clubs. The deployment centralized incoming document intake and automated invoice processing to support a rapid increase in monthly document volume from about 60 documents to over 10,000 documents per month.
Datamolino was configured to process vendor invoices and to produce line item exports, with workflows organized through folder-based automation for different club jobs. The implementation emphasized invoice capture, optical character recognition and structured export capabilities commonly associated with Intelligent Process Automation, enabling consistent extraction of invoice header and line details for downstream posting.
Operational integration included exporting processed invoice data into Xero, enabling bookkeeping teams to push captured transactions directly into the accounting ledger. The operational scope was finance and bookkeeping for UK-based club accounts, with Datamolino serving as the front-end document ingestion and data extraction layer feeding Xero for ledger posting and reconciliation.
Governance changes focused on folder-based job routing and standardized bookkeeping workflows, which centralized where documents were captured and how club-specific jobs were processed. The implementation produced an approximately 80% reduction in time spent on data management while supporting the dramatic increase in monthly document volume, demonstrating a shift in operational effort from manual data entry to exception handling and review.
