Functional workflows captured the end to end customer lifecycle from initial contact through quote creation, job scheduling and final billing, supporting credit control and debtor management. Financial reporting was used to produce cash flow reports, monthly management accounts and budgeting inputs for collaboration with external accountants.
The accounting system operated alongside Workpal which handled new business entry, parts ordering and field scheduling, with Big Red Cloud Accounting holding transactional financial records and cost data. Operational coverage included the office management team, sales and field engineers, and finance tasks performed by the assistant office manager during the Nov 2020 to Feb 2022 period. Data flows between field operations and accounting were organized to ensure invoices and material costs created in the office matched job level records used for financial reporting.
Governance centered on office finance process ownership, with the assistant office manager accountable for invoicing, credit control, bank reconciliations, payroll and liaison with external accountants for year end accounts.
