In 2019 Affinity Dental Management implemented MineralTree TotalAP, an AP Automation solution, to address rapid acquisition driven growth and centralized accounts payable bottlenecks. The dentist run DSO had expanded to 32 offices across four states and was processing approximately 1,000 invoices a month, which stressed a small, centrally managed AP team and relied on manual invoice handling and data entry into QuickBooks.
MineralTree TotalAP was deployed as a cloud based invoice capture and payment orchestration platform, with automated invoice capture that combines OCR with human review, electronic payment capabilities, and a SilverPay virtual card program. The deployment emphasized a two way sync with QuickBooks to eliminate duplicate manual entry, invoice posting workflows for an AP specialist, and electronic payment routing to reduce paper check issuance.
Operationally Affinity Dental centralized inbound invoices to a dedicated AP email account, scanned mailed invoices for upload, and routed documents into MineralTree for capture, processing, and posting. The AP specialist now spends roughly 10 minutes a day scanning paper invoices and about an hour processing and posting invoices in the system, while the controller runs weekly reports in MineralTree to select invoices for payment, maintaining centralized control across four states.
Governance and process restructuring included formalizing the AP email intake point, standardizing digital capture and approval workflows, and introducing a cadence for weekly payment approval by finance leadership. MineralTree’s payment operations team also enrolled suppliers in SilverPay, and Affinity Dental now uses SilverPay for nearly 30% of AP spend, generating rebates that more than offset the solution cost and shifting effort from manual entry to cash flow analysis and vendor management.

In 2018 Affinity Dental Management implemented New Relic APM to instrument its public-facing website and provide continuous visibility into web application behavior. New Relic APM functions as the Application Performance Management solution for the company, delivering application-level telemetry to IT and web operations for transaction monitoring and error detection.
The deployment used New Relic APM agents and browser-side instrumentation embedded in the website code, channeling transaction traces, error analytics, and performance metrics into centralized dashboards. Configuration work included mapping critical application transactions, enabling detailed traces for slow requests, and establishing alert policies to notify operations stakeholders when thresholds are exceeded.
Operational ownership rests with the IT and web operations teams, who use New Relic APM dashboards and alerts to drive incident response and ongoing performance tuning. Governance practices center on defined monitoring ownership, periodic dashboard review, and tuning of instrumentation to maintain application observability across the website environment.
