The deployment emphasized a two way sync with QuickBooks to eliminate duplicate manual entry, invoice posting workflows for an AP specialist, and electronic payment routing to reduce paper check issuance. Operationally Affinity Dental centralized inbound invoices to a dedicated AP email account, scanned mailed invoices for upload, and routed documents into MineralTree for capture, processing, and posting. The AP specialist now spends roughly 10 minutes a day scanning paper invoices and about an hour processing and posting invoices in the system, while the controller runs weekly reports in MineralTree to select invoices for payment, maintaining centralized control across four states. Governance and process restructuring included formalizing the AP email intake point, standardizing digital capture and approval workflows, and introducing a cadence for weekly payment approval by finance leadership. MineralTree’s payment operations team also enrolled suppliers in SilverPay, and Affinity Dental now uses SilverPay for nearly 30% of AP spend, generating rebates that more than offset the solution cost and shifting effort from manual entry to cash flow analysis and vendor management.
