In 2021, Agrosavia Colombia implemented Coupa Expense as its Expense Management solution to formalize travel expense legalization and staff expense approvals across core accounting operations. The deployment focused on processing receipts of expenditure, generating debit and credit notes, and routing approvals for travel expense legalization handled by accounting personnel.
Coupa Expense was configured to support expense submission, approval routing, validation of legal documentation, and linkage of advance request records. The implementation used Coupa Expense for the approval and review stages and for creating the documented expense records that feed downstream financial processes.
Integrations in the operational flow included registration of advance requests in the AX system and filing of finalized expense documentation into the Corpomail system before transmission to Treasury and Accounting. Operational coverage explicitly included the Mosquera, Cundinamarca site and the business functions of Accounting and Treasury, aligning expense capture, review, and payment request processes.
Governance and workflow design introduced validation checkpoints to confirm documents met legal requirements, an approval gate inside Coupa Expense, and a sequential handoff to Treasury and Accounting for payment processing and archival. The implementation created a standardized sequence connecting Coupa Expense, AX system registration, Corpomail filing, and treasury payment channels.

| Thermo Fisher Scientific | Legacy | Thermo Scientific SampleManager LIMS | Laboratory Management | ERP Services and Operations | n/a | 2021 | 2021 |
In 2021 AGROSAVIA Colombia implemented Thermo Scientific SampleManager LIMS as a centralized Laboratory Management platform to consolidate soil analysis workflows across its Bogotá laboratory network. The initial deployment was executed in the Tibaitata main laboratory in Mosquera with a phased plan to extend the SampleManager LIMS instance to additional sites in the laboratory network, aligning the application with AGROSAVIA’s mandate to deliver data driven fertilization recommendations to farmers.
The Thermo Scientific SampleManager LIMS implementation configured core laboratory modules including sample registration and tracking, contracts and quoting, automated result distribution, and instrument data capture. The SampleManager LIMS contracts module was used to generate quotes and manage order approvals, handoffs were formalized to business development for issuance of Statements of Work, and the laboratory configured workflows so analysts can download assigned projects and run analyses directly in the system. The implementation targeted the organization’s existing soil testing throughput of approximately 15,000 samples per year and replaced manual Excel based review steps that previously consumed up to eight hours per week, reducing per project processing from hours to minutes through automated data processing and integrity checks.
Instrument integrations were implemented to enable automatic data transfer from laboratory equipment into SampleManager LIMS, removing paper documentation and manual Excel entry. The LIMS was connected to business intelligence and AI platforms including Tableau and IBM Watson so analytical models operate against the most recent LIMS data, and a public facing portal was developed to expose results to farmers who can track samples and download reports when results are available. These integrations link laboratory analytic outputs to downstream agronomic recommendations and client facing delivery channels.
Governance and rollout emphasized a train the trainer approach with Thermo Fisher Scientific implementation personnel working alongside AGROSAVIA project leaders to embed workflows and user acceptance. Key users were trained during implementation and subsequently trained broader staff, enabling operational ownership inside the soil laboratory, coordination with business development for contracts and SOW processing, and future rollouts across other specialized laboratories including genetics workflows. Sample intake workflows include direct delivery or special delivery registration and automated alerts to clients at result availability.
The implementation delivered explicit operational improvements that include automated data traceability, elimination of paper and Excel based processes, reduced hands on review time, and centralized management of laboratory workflows via Thermo Scientific SampleManager LIMS. The project aligned laboratory instrumentation, reporting, and client access to support AGROSAVIA’s objective of providing actionable soil analysis to Colombia’s agricultural community.

In 2018, Agrosavia Colombia deployed Microsoft 365. The Microsoft 365 deployment serves as the organization’s Collaboration platform for internal communication, document management and team productivity.
The implementation centers on Microsoft 365 core services, including Exchange Online for email, SharePoint Online for intranet and document libraries, OneDrive for personal file sync, Microsoft Teams for chat and meetings, and the Office applications for productivity. Identity and access are managed through Azure Active Directory tied to the Microsoft 365 tenant, enabling centralized account provisioning, single sign on and conditional access controls. Standard Collaboration capabilities such as document coauthoring, shared libraries, team channels and cloud file versioning were configured consistent with Microsoft 365 service design.
Operational coverage spans Agrosavia Colombia staff, with SharePoint powering corporate content and Microsoft Teams used for cross functional collaboration across research, administrative and field coordination functions. Tenant governance emphasizes information architecture, access controls, retention labels and administrator roles to govern content lifecycle and secure collaboration. Public references on the Agrosavia Colombia website indicate Microsoft 365 is actively used, confirming the vendor presence and the application footprint in the organization.
