In 2018, Alcon implemented SAP Concur Travel as a core component of its Travel Management program and integrated travel and expense processes into its broader SAP S4 HANA Central Finance initiative. The implementation was executed as part of the IRIS global template program, targeting global finance, procurement and travel functions across EMEA, LATAM, ASIA and the Americas, and aligning travel expense posting with centralized financial reporting requirements.
The SAP Concur Travel deployment focused on Travel Management capabilities such as expense capture, policy enforcement, approval workflows and automated posting of T&E transactions into the corporate ledger. Configuration activities included mapping expense transaction types to accounting objects, defining approval chains and role assignments, and ensuring expense events aligned with the IRIS Core chart of accounts, profit centers and cost center structures used by SAP S4 HANA Central Finance.
Concur for T&E was integrated with SAP S4 HANA Central Finance and the Ariba procurement landscape, using the program's documented integration patterns and technical specifications for expense to finance flows. Integration work referenced established ETL and replication approaches used in the program, including SAP BODS and SLT patterns for financial data movement, and produced integration, technical and functional specifications to govern the flow of expense data into Central Finance.
Governance and control were enforced through Computer System Validation compliant deliverables, URS and FRS documentation, and global role mapping aligned with GRC access control and segregation of duties remediation. The rollout followed the IRIS template approach with phased testing and continuous integration pipelines for deployments to QA, UAT and production, global super user training, and coordinated data separation activities required by corporate carve outs and regulatory compliance in a GxP and FDA regulated environment.
