The implementation of Agency Software Paprika included role-based access for HR practitioners and line managers, and structured workflows to ensure consistent decision-making on employment policy and people practices. Operationally the application coexisted with the HRIS Cascade, with HR maintaining accurate employee master data in Cascade while using Agency Software Paprika for recruitment and candidate workflows and for producing MI used in people analysis. The Finance team continued to manage payroll administration processes, with Agency Software Paprika configured to hand off required employee information for payroll processing and to support coordination between HR and Finance. Governance was led by the Head of HR and the internal HR team, who acted as system owners, managed coaching and development of HR staff, and adjusted role responsibilities to meet business needs. The HR team used Agency Software Paprika to advise managers on policy and to act as HR partner to practice offices abroad, embedding the application into established people management and parental leave processes.

The HR function also used the application as a training and help desk focal point, delivering weekly CascadeHR training for new joiners and acting as the primary contact for employee HR queries, while performing related administrative tasks such as scheduling CSCS health and safety tests for architects and completing paperwork to add employees to benefits.
