In 2015 Amplify Energy deployed IFS AFE (formerly P2 AFE) to centralize accounts payable controls and authorization for field expenditures, establishing a formal AP Automation backbone for AFE lifecycle and joint interest billing processes. The initiative focused on supporting the Joint Interest Billing department and Cost JIB accountants with structured AFE creation, review, approval and closure workflows across operated and nonoperated assets.
The implementation configured IFS AFE modules for AFE maintenance, BOLO processing, AFE Navigator driven approvals, monthly AFE closure reporting, and automated capture and coding of JIB invoices. Functional capabilities implemented included invoice processing and payout handling, material transfer coding across multiple entities, variance analysis for nonoperated cost trends, journal entry generation for variances and prior period adjustments, and account reconciliations for inventory advances to operators and JIB clearing.
Integrations were explicit for payout processing, with Energylink used for nonoperated JIB payouts alongside manual invoice handling workflows. Operational coverage extended to the Joint Interest Billing function, accounting, operations and land departments, and handled multi entity postings and partner cash call reconciliation as part of month end JIB close activities in the Houston area.
Governance and process rules were embedded in the system using the company AFE policy and an Authorization Matrix, with cost allocation enforced according to Joint Operating Agreements and COPAS guidelines. The deployment supported audit data provisioning, partner dispute resolution workflows, accounts receivable collection analysis, and ongoing support for coding and AFE inquiries without naming an implementation partner.

The implementation supported recurring automation of journal uploads and periodic account reconciliations, enabling weekly journal entry uploads through the BOLO accounting software.
Operational coverage spanned finance and accounting teams responsible for monthly and quarterly reconciliations, ledger maintenance, and financial statement analysis for escalation to management. The implementation was aligned to asset group accounting, with processes defined for recording and analyzing discrepancies at the asset level and consolidating entries at the corporate ledger level.
Governance and workflow controls emphasized periodic reconciliation cycles and a cadence for journal entry submission and review, standardizing month end and quarter end close activities. Day to day operational practice documented use of IFS BOLO for accrual accounting and financial reporting tasks, including designated processes for uploading weekly journals and escalating exceptions to senior finance leadership.
