In 2007 Aon US implemented Wolters Kluwer Passport, deploying a Legal Practice Management application to centralize global legal spend processes. The implementation targeted Aon’s law department of roughly 250 professionals distributed across 17 countries with central reporting to the General Counsel in Chicago and regional legal hubs in London, Rotterdam and APAC, addressing complexity from acquisitions, multiple currencies and diverse invoice formats.
Wolters Kluwer Passport was configured to serve as an electronic invoicing and legal spend management hub, standardizing invoice intake, normalizing varied invoice formats, and capturing granular billing data for matter level analysis. Functional capability emphasized automated workflow and approval chains, location specific billing rules and automated invoice adjustments, and integrated reporting on matter phases, hours billed and firm activity to support more proactive outside counsel management.
The deployment used a hosted delivery model while retaining the majority of Aon data behind the corporate firewall, with encrypted invoice transmission decoded within the firewall for internal access. The implementation connected Wolters Kluwer Passport to matter management and accounts payable systems to provide a consistent, near real time perspective of legal expenses, and Aon engaged Huron Consulting Group as an external consultant to assist with requirements, system design and rollout complexity.
Governance and rollout were driven by executive sponsorship from Cam Findlay and emphasized centralized processes, training across time zones and languages, and the establishment of approval and workflow rules to enforce consistency. Aon reported that the solution met expectations and expected annual savings of three to seven percent as more spend passed through the system, while enabling richer reporting and more effective management of outside counsel spend.
