In 2020, Apollo Bagels implemented Restaurant365 to centralize Restaurant Management across its multi-unit hospitality operations. Restaurant365 was deployed to support accounting and operational workflows for stores in the New York City metropolitan area, with the company controller designated as the internal system owner responsible for adoption and ongoing configuration.
The Restaurant365 implementation included core accounting and financial close capabilities, configured to produce weekly and monthly reporting, store-level and consolidated profit and loss statements, and variance analysis. Functional modules explicitly instrumented in Restaurant365 encompassed general ledger management, journal entries for accruals and prepaids, inventory recording and transfer tracking, fixed asset registers and depreciation schedules, procurement and purchasing, accounts payable and invoice workflows, and project cost tracking for new store openings.
Integrations were established between Restaurant365 and point of sale and back-office flows, with explicit connections to the Toast POS environment, payroll systems, and banking channels to support reconciliations. Accounts receivable workflows in Restaurant365 were configured to handle credit card reconciliations, gift card processing, and third party delivery platform settlements, and the system was used for daily cash deposit verification and exception reporting.
Operational governance centered on the controller acting as the internal owner of Restaurant365, maintaining the chart of accounts and multi-entity general ledger structure, and owning all technical accounting entries including intercompany allocations. The controller also oversaw outsourced bookkeeping relationships, reviewed and pressure tested deliverables from external bookkeepers, and drove consistent usage and reporting standards across store operators and general managers.
Rollout and process integration emphasized operational partnership between finance and store operations, with Restaurant365 used to align labor, cost and inventory reporting to store performance and to provide operators with actionable reporting. The implementation positioned Restaurant365 as the single system for Restaurant Management, accounting, procurement, inventory controls, and transaction reconciliations under controller governance.
