In 2016, Aptean implemented Basware AP Automation to standardize accounts payable operations across its finance organization. The Basware AP Automation deployment was positioned to support accounts payable workloads for all five company product groups and to accommodate the integration of 11 global acquisitions alongside existing FP&A activities.
The implementation configured category-standard AP Automation modules, including invoice capture with optical character recognition, invoice validation and supplier data management, workflow-based approvals, and three way PO and receipt matching logic. Basware AP Automation was also provisioned with exception handling, vendor portal capabilities, and AP reporting and analytics to support month end close and auditability.
The Basware AP Automation rollout was executed in the context of a broader finance tooling program that included implementation of IBM Planning Analytics for FP&A, aligning AP data flows with financial planning and reporting. Integrations focused on posting to core ERP and general ledger systems and on synchronizing vendor master data, while preserving existing financial controls for acquisitions brought into the corporate finance structure.
Governance was centralized in the finance organization under a senior manager of finance who oversaw three analysts across domestic and international teams, and governance artifacts included standardized approval workflows, exception routing rules, and executive reporting cadence. Rollout emphasized process harmonization and operational control across product group ledgers, with the implementation serving as a foundational AP Automation layer for Aptean finance operations.

In 2010 Aptean implemented Hirebridge Applicant Tracking as its Applicant Tracking System to manage external candidate applications captured through its public careers site. The Hirebridge Applicant Tracking deployment was configured to publish job postings on Aptean's careers page and ingest candidate submissions and resumes directly from web application forms. The implementation links the application intake channel with corporate recruiting workflows.
Functional capabilities implemented include job requisition management, candidate sourcing and application intake, resume parsing and profile creation, candidate workflow management, interview scheduling workflow, and recruitment reporting typical of an Applicant Tracking System. The implementation centralizes applicant records for Aptean's talent acquisition and human resources teams and supports requisition ownership, candidate status tracking and hiring pipelines.
Operational governance focused on standardizing recruiter and hiring manager workflows, defining requisition approval routing and establishing a consistent candidate status taxonomy to improve hiring process visibility. Integration scope was intentionally centered on the careers site for application capture and on internal HR workflows, with configuration and role based access controlling recruiter and hiring manager interactions with Hirebridge Applicant Tracking.

In 2013, Aptean implemented Oracle Netsuite OpenAir as its Professional Services Automation platform to support global Professional Services operations. The deployment focused on operationalizing project scheduling, consultant resourcing, time and expense capture, and customer billing across the services organization.
Oracle Netsuite OpenAir was administered by an internal super user who managed configuration, enhancement requests, and day to day support. Core functional modules implemented included skills inventory management, resource scheduling for internal and third party consultants, timesheet and expense processing, monthly customer billing, and recurring project revenue workflows.
The implementation operated as a cross functional platform used by Professional Services, Finance, Sales, and Contracts teams, with close operational collaboration to ensure monthly revenue recognition and to facilitate services sales requests. Reporting and analytics capabilities were established to produce consistent weekly, monthly, and quarterly reports, and ad hoc reports and data analysis were provided to support project and financial reviews.
Governance centered on a designated OpenAir administrator model, ticket based support for users, and process coordination with Finance for billing and recognition cycles. The role also included liaising with Sales and other departments to drive process changes and to maintain a centralized skills inventory for capacity planning and resource allocation.
