BasWare Legacy Basware AP Automation AP Automation ERP Financial Management ICreative 2014 2014
In 2014, Bilderberg implemented Basware AP Automation across its Dutch hotel chain. Basware AP Automation was deployed as the companys AP Automation platform to centralize invoice intake and to enable high-volume electronic invoicing. The implementation addressed an annual volume of approximately 40,000 supplier invoices driven by decentralized purchasing across hospitality operations. Functional capabilities implemented included electronic invoice receipt and processing, automated invoice capture, workflow routing for approvals, automated matching and exception handling, consistent with standard AP Automation workflows for invoice-to-pay orchestration. The project was delivered with implementation partner ICreative and included connectivity to e-invoicing channels, enabling suppliers to submit invoices electronically into the Basware AP Automation environment. Operational coverage extended across Bilderbergs finance and accounting function supporting accounts payable processing for the hotel group rather than a single property. Governance and process changes accompanied the rollout, consolidating invoice processing and reducing the internal invoice processing headcount from 40 to 3. Today Bilderberg receives 80% of its invoices electronically, and Manager Finance Accounting & Control Stéphanie van der Stelt reports that costs have been reduced and efficiency has increased as a result of the Basware AP Automation deployment.

Mews Systems Legacy Mews Property Management Hotel Property Management ERP Services and Operations n/a 2025 2025
In 2025 Bilderberg implemented Mews Property Management as its centralized Hotel Property Management system, deploying the application to power online bookings on its website and to consolidate reservation and front-office operations. Bilderberg is a Netherlands-based leisure and hospitality operator with approximately 700 employees, and the implementation positions Mews Property Management as the primary system for guest-facing reservations and property operations. The implementation focuses on standard Hotel Property Management functional capabilities, including reservations and booking engine integration, front-desk check-in and check-out workflows, rate and inventory controls, guest profile management, and housekeeping coordination. Configuration work emphasized aligning booking rules and rate plans with the website booking flow, and instrumenting guest profile and reservation records to support operational consistency across properties. Operational coverage extends to reservations, front-office, revenue-related pricing controls, and operations teams, with Mews Property Management integrated directly into the public website to capture direct bookings. The deployment centralizes booking data within Mews Property Management to standardize workflows and guest records across Bilderberg managed properties, improving system-of-record consistency for hotel operations and marketing touchpoints.
