The implementation addressed an annual volume of approximately 40,000 supplier invoices driven by decentralized purchasing across hospitality operations. Functional capabilities implemented included electronic invoice receipt and processing, automated invoice capture, workflow routing for approvals, automated matching and exception handling, consistent with standard AP Automation workflows for invoice-to-pay orchestration.
The project was delivered with implementation partner ICreative and included connectivity to e-invoicing channels, enabling suppliers to submit invoices electronically into the Basware AP Automation environment. Operational coverage extended across Bilderbergs finance and accounting function supporting accounts payable processing for the hotel group rather than a single property.
Governance and process changes accompanied the rollout, consolidating invoice processing and reducing the internal invoice processing headcount from 40 to 3. Today Bilderberg receives 80% of its invoices electronically, and Manager Finance Accounting & Control Stéphanie van der Stelt reports that costs have been reduced and efficiency has increased as a result of the Basware AP Automation deployment.
