In 2021 BrightView Health implemented MineralTree TotalAP to automate accounts payable as part of its AP Automation initiative. The decision followed a prior move to a cloud ERP with Sage Intacct and targeted rapid scaling challenges caused by growth from four treatment centers to more than 30 centers and invoice volume rising from roughly 3,000 to over 10,000 per year.
The MineralTree TotalAP deployment centralized invoice capture and approvals, leveraging optical character recognition with human review to capture line level detail and reduce manual data entry. Modules and capabilities in use include invoice capture, duplicate detection, exception handling, and automated approval routing to field based clinicians and operations managers, enabling a single source of invoice data for finance.
Integrations were explicitly implemented with Sage Intacct for accounting posting and reconciliation, and MineralTree’s SilverPay virtual card option became part of BrightView Health’s payment mix for supplier payouts. Operational coverage spans the finance and accounts payable teams, center level managers and field clinicians, and supports multi site payables processing across BrightView’s Ohio and Kentucky operations.
Process governance shifted under the controller who redesigned accounting structure, instituted standing weekly payables reviews with the CFO, and centralized audit evidence through MineralTree TotalAP. Reported outcomes from the implementation include AP processing capacity at roughly 150 invoices per day for the AP specialist, audit preparation reduced to 20 to 30 minutes, improved timing control over cash disbursements, and new cash back rebate revenue via virtual card payments, enabling company growth without expanding headcount.

Qualifacts CareLogic was configured to support person centered IPOC development and updates at initial induction and on a quarterly cadence, enabling documentation of service needs and goals in collaboration with the patient, substance use counselors, medical providers, and managed care organizations. The implementation emphasized functional modules for care planning, documentation trackers, releases of information, incident reporting, ISP and ITP workflows, and BPSS assessment capture, reflecting standard Electronic Health Record capabilities for behavioral health documentation and compliance.
Operational use covered the case management function, where coordinators maintained active caseload records and trackers, and where one coordinator managed 140 Medicaid insured patients within a 330 patient population. The system was used to research linkages, refer and coordinate care with external stakeholders, and to record communications with probation officers and child protective services when required, supporting clinical coordination and case assignment visibility across the treatment team.
Governance and process changes were implemented to align system use with company locality state and insurance policies, enforcing quarterly IPOC updates and monthly interdisciplinary care planning summaries.
