Routine operational activities documented for the system include high volume invoice input, purchase order creation, invoice reconciliation against supplier statements, and preparation of fortnightly payment runs, reflecting typical ERP Financial functional modules and invoice lifecycle automation.
The implementation included explicit operational integrations, using Sun Systems together with B4B to manage supplier payments, to create bank files and to export payment files for import into Barclays, Western Union, and HSBC. Operationally GroupWise functioned alongside the in-house tariff system that staff use to input rates, costs and quotes, serving as the primary communication channel for distributing tariff inputs, fuel-related updates and invoiceable ancillary cost details. The Collaboration deployment covered the Tariff Department and the Ancillary Cost office, with daily user activity that tied email threads to operational tasks like collating costs, deciding cost recovery and invoicing customers in requested time slots.
