In 2019 Child Rescue Coalition implemented Microsoft Dynamics 365 Business Central as its cloud ERP Financial system, replacing Intuit QuickBooks Online to gain stronger controls and reporting for nonprofit accounting. The decision followed a recommendation from Microsoft partner TechSoup and a selection of Boyer & Associates as the implementation partner, with Director of Accounting Jeanne Aparicio driving the project and performing much of the configuration work herself.
The implementation delivered core modules including sales, finance, cash management, purchasing and fixed assets, while inventory and payroll were explicitly not implemented. Fixed Assets required the most complex configuration and caused a short delay, but the organization completed a full transactional history backup extending to the nonprofit’s inception in 2013 and achieved a production go live in August after a three month implementation period.
Architecturally the deployment is Microsoft cloud based using Microsoft Dynamics 365 Business Central, with data migrated from Intuit QuickBooks Online and configuration packages provided by Boyer & Associates. The rollout leaned on Boyer’s quick-start guides and weekly advisory calls, enabling a largely self-led implementation by the accounting director, and established role based access controls, month end close workflows, Account Schedules and Dimensions for multidimensional reporting.
Governance and operational practices were codified under the Director of Accounting, who used Business Central’s Dimensions and Account Schedules to create prior period department comparisons and to track restricted funds in line with nonprofit grant restrictions. The project stayed under budget, with an original budget of 10,000 and actual implementation cost of 7,500, and Child Rescue Coalition now relies on Boyer for ongoing support while using Microsoft Dynamics 365 Business Central ERP Financial capabilities to produce board-ready financial reports without external Excel reconciliation.
