In 2018 Cleveland Foundation implemented Paylocity Employee Self Service to centralize core HR functions and support talent processes across the nonprofit. The Paylocity Employee Self Service implementation, classified under Employee Self Service, was positioned to serve talent management, talent acquisition, benefits administration, compliance, and employee relations workflows while replacing ADP payroll services as part of the HR technology refresh. The deployment included configuration and launch of the Employee Self Service portal along with the Recruiting module, Onboarding module, and Survey module to standardize hiring and intake workflows. Configuration work focused on employee-facing self service, recruiter and hiring manager workflows, new hire onboarding sequences, and pulse and engagement surveying to enable HR automation and reduce manual paperwork. Operational rollout was led by an internal Human Resources Generalist who conducted organization-wide trainings and served as the primary liaison to other departments. The implementation covered all staff and was tied into ongoing HR programs, with HR acting as the central governance body for configuration, access, and ongoing process changes. Governance changes included standardizing HR processes and training through a revamped biannual TCF Ambassador Program and embedding HR representation on internal committees to align policy and adoption. The project explicitly aimed to streamline HR processes for standardization and higher efficiency, and operationalized Paylocity Employee Self Service into recruiting, onboarding, employee engagement, and benefits administration workflows.
