The Coupa Invoice implementation emphasized invoice automation capabilities typical of AP Automation, including three way matching to purchase orders, automated invoice routing, vendor invoicing workflows, and configurable invoice coding rules. Configuration included vendor onboarding workflows and procure to pay orchestration to link purchase orders, receipts, and supplier invoices, supporting forecasting for imports and synchronized ordering across sites.
Integrations aligned Coupa Invoice with existing order systems and vendor relations processes to enable invoice reconciliation across Procurement, Finance and Accounting. Operational coverage extended to business development, clinical, and operations teams to support product evaluation, vendor onboarding, and ordering processes, reflecting cross functional governance for new vendor and product introductions. The deployment supported multi site operations and centralized invoice handling for improved spend allocation accuracy.
Governance was implemented through established communication and process flows between Finance and Accounting and the Business Development team to ensure proper allocation of all spend, and procurement defined approval workflows and invoice reconciliation procedures. Role based access controls and testing cycles were used to validate data flows between HR and payroll functions. Operational coverage emphasized HR and payroll teams, plus managers, supported by structured training and testing during rollout.
Governance was organized around a central project manager who led implementation activities, ongoing ADP systems training, and coordination of the performance appraisal and merit increase cadence.
