The installation includes a Collections Management sub-module which was implemented in 2015 to assist staff with debt collection and monitoring, and an online portal giving customers access to financial data including scheme payment information for farmers. SAP ERP ECC 6.0 also provides internal management reports and enhanced facilities to enable managers to monitor and control financial resources across departmental business functions. Governance is enforced through embedded procedural controls, audit trails, and reporting workflows within SAP ERP ECC 6.0 to support control and monitoring of finances and to meet statutory requirements. The netting functionality and the Collections Management module are used operationally within those controls to manage receivables and recoveries. In 2019 the SAP ERP ECC 6.0 system issued approximately 847,904 payments with a value of €2.656 billion, and the netting facility recovered approximately €25.7 million in overpayments. The architecture referenced Microsoft 365 and Azure Data and AI tooling as part of the overall platform stack, and Codec managed the configuration of content, intents, and the helper bot logic to match departmental schemes and eligibility workflows. Governance and rollout were coordinated with the departments Digital Transformation and Governance function, using staged configuration and content tuning before a September 2022 go-live. In the first six months after launch the chatbot recorded more than 6,000 visits and answered more than 900 questions, and the department projected adoption by roughly 14,000 farmers representing 10 to 15 percent of the national farming population, with plans to expand chatbot capabilities to additional use cases within the organisation.
