In 2019, Edinburgh Leisure implemented TechnologyOne Accounts Payable as part of an AP Automation initiative, deploying the module on TechnologyOne's Software as a Service platform. The rollout followed prior adoption of TechnologyOne financial and Performance Planning modules, and specifically introduced automated supplier invoice processing into the charity's finance stack to improve invoice throughput and approvals.
TechnologyOne Accounts Payable was configured to support automated supplier invoice capture and processing, invoice matching and approval routing, and integration with the wider TechnologyOne finance ledgers and planning data. Configuration work focused on multi-department accounting workflows to reflect an expanded finance remit that grew from just over 50 to around 80 cost centers, and to support the organisation's extensive venue and school facility management activities.
The deployment architecture used TechnologyOne's SaaS platform to centralise AP processing while maintaining a single ERP data model across financials and Performance Planning, enabling remote access and multi-device use which became critical during the 2020 COVID-19 lockdowns. The AP Automation implementation was integrated within the existing TechnologyOne ecosystem rather than as a standalone point solution, preserving consistent master data for suppliers and chart of accounts.
Governance and process changes emphasized building internal capability, with the finance team trained to extend and adapt the system, and process ownership shifted toward departmental budget holders for greater accountability. Edinburgh Leisure described the platform as malleable and easy to extend, which supported iterative improvements and user-driven workflow enhancements post-deployment.
Edinburgh Leisure's broader TechnologyOne program delivered measurable organizational benefits earlier in the relationship, after an initial ERP adoption in 2014 the charity reported a £1m operational and £2m cash turnaround within a year, enabling capital reinvestment in facilities. Employee engagement and continuous improvement were cited as enduring outcomes of adopting TechnologyOne Accounts Payable and the surrounding AP Automation capabilities.
