Functional capabilities implemented included management accounting and variance analysis to identify margins and variances, structured budget collection and reforecast consolidation, and preparation of VAT returns for submission to HMRC, all aligned to standard ERP Financial workflows.
Operational notes reference integrations with payroll and HR systems Horizon and HR select, which were used for payroll processing and pension deduction reconciliation when those tasks were managed by finance. The deployment covered finance interaction with house managers and department directors, with the finance team responsible for monthly management accounts reviews, ad hoc analysis across services and charitable operations, and monitoring services expenditure relative to income and costs.
Governance changes included strict adherence to statutory month end deadlines, recurring monthly meetings with house managers to review budgets against actuals, and a centralized process for collating departmental budgets and reforecasts for presentation to the board. Rota Horizon was operated alongside other line of business applications such as Exchequer, Raisers Edge and Track It, with IT responsibilities covering 1st, 2nd and 3rd line support, out of hours support and project work. Integrations and operational tooling explicitly included Active Directory based user provisioning and authentication, Veritas Backup Exec for backups, Orion Solarwinds Console and Aerohive WiFi Console for monitoring and network visibility, Sophos Enterprise Console and Sophos Web Appliance with Sophos MDM for device security, TeamViewer for remote troubleshooting, and Xerox and Dell print services; hardware management and CCTV were supported by Dell Open Manage, Dell PERC and Mirasys. Management reporting and configuration management were part of the rollout governance, embedding application support into existing IT operational processes.
