The platform was administered by a dedicated team user who maintained configuration, user entitlements and claim workflow rules, while mobile capture and receipt image workflows were tuned for field and site staff to reduce manual paperwork.
Operationally the expense platform ran alongside existing procurement and travel tools, with Basware used for purchase order closure and Custom Fleet and FCM handling vehicle and travel bookings, while Visa Spend Clarity (ex Fraedom Expense) managed card and employee expense flows. Concurrent site-level initiatives included a formalized credit and warranty claims process, systematic yard stocktaking with barcode and scanning gun controls, and production quality feedback loops that fed financial crediting and returns workflows.
Governance and process changes centralized expense ownership within finance and established structured turnaround targets for credits and returns at manufacturing sites, enabling one-person operational management of crediting tasks and clearer budgeting for claims.
