In 2014, Fugro implemented ExFlow NAV as an AP Automation solution provided by SignUp Software AB. Fugro-TSM revisited accounts payable tooling to improve invoice handling and engaged their UXC Eclipse Account Manager who presented AP Smart, a solution combining ReadSoft and ExFlow capabilities, and instructed UXC Eclipse to scope the project.
The ExFlow NAV implementation focused on automated invoice capture and interpretation, leveraging OCR and document classification to reduce manual data entry. Functional capabilities implemented included automated PO matching against the ERP, configurable approval workflows, and a best-practice procedure framework for finance and accounts payable personnel.
Integration architecture centered on a tight connection between ExFlow NAV and Microsoft Dynamics ERP, enabling two-way PO and invoice matching and status synchronization. Operational coverage targeted Fugro-TSM finance and accounts payable teams, while Fugro Group had prior exposure to the same AP Smart approach through global usage of the combined ReadSoft and ExFlow tooling.
Governance and rollout were scoped through UXC Eclipse, with an emphasis on standardizing AP workflows and establishing role based approval controls and exception handling rules. The project narrative emphasizes configuration of workflow orchestration, invoice validation rules, and ERP reconciliation processes rather than measurable outcomes.

In 2019, Fugro implemented Workday Absence Management for its Fugro Netherlands workforce of approximately 1100 FTE. The Workday Absence Management deployment was scoped as an Absence and Leave Management initiative to centralize absence recording, standardize sick leave workflows, and align HR and payroll processes for the Netherlands legal and operational context.
The implementation included configuration of the Workday Absence Management application and the Workday Sick Leave module, with policy-based absence types, case management for sick leave events, and entitlement and allowance configuration. The program also provisioned employee master data feeds for time writing and payroll related attributes, and included process configuration work to support payroll process improvements and allowance handling during the implementation period.
Integrations were implemented to connect Workday to Fugro payroll systems, and the program included social insurances implementation with a third-party to support statutory reporting and benefit administration. Operational coverage focused on HR and payroll functions within Fugro Netherlands, and the rollout activity was coordinated alongside onboarding and outsourcing of sick leave management to ensure end-to-end workflow continuity.
Governance and rollout were managed through a PMO structure, with cross functional stakeholder engagement led by a Human Resources Project Manager. The project introduced new policies and process changes including a new onboarding programme, a policy on gifts and inappropriate conduct, and targeted sick leave process improvements, while assigning responsibility for allowances and employee data stewardship during the Workday implementation.
