In 2012 Giesecke+Devrient implemented OpenText Vendor Invoice Management as an AP Automation solution to remove manual paper routing and accelerate invoice throughput. The decision aligned with the group management CHANGE program, which aimed to adapt workflows to rising supplier counts and a near doubling of received invoices in Germany from 32,000 to 79,000 between 2004 and 2012.
The implementation configured OpenText Vendor Invoice Management to provide electronic invoice capture, automated approval workflow routing, and system-driven invoice checking and booking tied to payment terms. Approximately 1,600 employees at the Munich location were integrated into the SAP workflow of the OpenText solution, enabling same-day electronic delivery of invoices to approvers and automated routing into accounts payable processing.
Integration with SAP was a core architectural element, OpenText Vendor Invoice Management operating as the invoice orchestration layer in the SAP workflow to route approvals, trigger invoice checking, and post bookings. The roll out removed internal mail handoffs and introduced delegation and transparent routing for approvers, converting a previously error prone, blocked process into an auditable, automated flow across invoice verification and finance teams.
Operational governance was governed by the existing CHANGE initiative, with the system centralizing invoice handling at the Munich site and redefining invoice verification processes. As reported by Giesecke+Devrient the digitalization allowed the team to process almost three times as many received invoices with fewer staff, and the processing cost per supplier invoice decreased by 50 percent after deployment.

Configuration emphasized global templates and localization controls to support consistent data models while allowing country specific HR attributes where required. The deployment used standard SuccessFactors Employee Central configuration, business rules and workflow automation aligned to HR operational processes.
Architecturally the program established a centralized Employee Central tenant as the single source of truth for Core HR, enabling canonical employee records and synchronized organizational hierarchies for downstream HR functions. Integrations were scoped around canonical HR data distribution to local HR teams and HR service delivery channels, and to identity and access management and payroll or country level systems as part of typical Core HR system interoperability. The deployment approach balanced global configuration with regional localization and role based access for HR administrators and managers.
Governance and rollout were organized under the program lead and global rollout manager role set, with change control, data governance and wave based rollout planning to sequence countries and HR processes. The deployment focused on enabling enterprise wide collaboration and enrolling global sourcing activities while keeping processes simple and user friendly.
Governance and rollout emphasized extensive involvement from business stakeholders, management support including the Board, and exceptional internal collaboration and communication to align the solution with rigorous internal and external compliance and security standards. The outcome is a unified Contract Lifecycle Management platform that centralizes supplier management, harmonizes and optimizes workflows, and provides flexibility to adjust processes for unique or evolving requirements to preserve long term value.
