In 2014 Great Lakes Institute of Management implemented TCS iON Digital Campus as an Education ERP to address a multi-step admissions workflow, fragmented inter-department information flow and a complex trimester scheduling requirement for visiting faculty. The deployment targeted admissions, academics, the resource center and hostel administration to create a centralized database and provide real-time reporting for academic and administrative decision making.
TCS iON Digital Campus was configured with eight eForms and an Admission Module that included two ranking logics to automate multi-parameter applicant scoring, and a recommenders form with copy form functionality to reduce manual data entry. On Demand Reports and Biz Analytics were provisioned for admissions, academics and the resource center, and the Academics module included an auto time table feature plus an industry acceptable timetable print format to accommodate visiting faculty availability and printing requirements.
The solution was delivered as a single service cloud offering on a pay-as-you-use model, combining software, network and hardware provisioning with automated upgrades and back-up data center continuity. Workflow Configurator capabilities were used to orchestrate inter-department processes, creating automated sequences for after counseling activities such as document scrutiny and fee collection, academic tasks including roll number generation, section allocation and ID card printing, and hostel room allocation.
Governance changes centered on automated workflows to enforce process handoffs across admissions, academic administration and hostel services, reducing manual interventions and the possibility of human error in rank calculations. The implementation delivered centralized reporting and scheduling automation, and vendor documentation states the pay-as-you-use model and managed service approach typically results in the ROI exceeding rental within three months when best practices are followed.
