In 2021, Greencross Vets implemented ExFlow NAV to support AP Automation across its finance organization in Sydney NSW. The engagement is documented through systems training and enablement work between March 2021 and December 2021, where instructional design artifacts were created to support the ExFlow NAV rollout and on‑boarding of accounts payable users. Training and change activity targeted Accounts Payable business functions using the ExFlow NAV AP Automation solution.
ExFlow NAV deployment covered category‑typical AP Automation capabilities such as electronic invoice capture, configurable approval workflows, exception handling and PO matching, integrated operationally with the company finance processes. The Instructional Designer developed comprehensive learning assets for ExFlow NAV including eLearning modules, animated videos, storyboards, process diagrams, quick reference guides, cheat sheets and train‑the‑trainer materials, applying adult learning principles and hands‑on activities to replicate invoice processing and approval automation. Evaluation methods and iterative reviews of content were used to finalize training prior to go‑live.
The project included mapping integration flows and creating process diagrams to depict data movement through integration systems, explicitly documenting interaction points with the ERP system Finance Module Microsoft Dynamics 365 and other SaaS products referenced by the business such as Chargify, comestri and RxWorks. Documentation emphasized how ExFlow NAV exchanges invoice transactions and approval status with the accounting ledger and how exceptions route to business users and process owners. These integration artifacts supported Business Analysts during training delivery and provided reference material for post go‑live navigation support.
Governance and rollout coordination was managed in collaboration with the Change Manager and process owners, informed by a detailed training needs analysis and reviews of as‑is and to‑be workflows. The instructional program included assessment instruments to validate user readiness and reduce errors in live processing, and the training resources were used in post go‑live support to address process and navigation queries. The implementation aligned patient account management and AR recordkeeping with clinic finance operations to support timely posting of payments and monthly financial reporting.
Integrations and multi-system reconciliation were a key aspect of the operational design, with payments received from Vetpay reconciled into RXworks and direct deposits allocated into both RXworks and the EzyVet Patient Management Systems. Staff workflows relied on multiple portals and system-to-system allocation steps, requiring coordination between collections, finance and clinical administration to ensure payments were posted to the correct accounts.
Governance and process controls emphasized maintaining AR files and records, performing regular bank reconciliations, producing management reports and participating in weekly management meetings to provide operational feedback. Day to day collections officer responsibilities included allocating unmatched payments, assisting with monthly financial and management reports, and following WHS induction and continuous learning requirements, embedding EzyVet as the operational Medical Practice Management application for patient billing and collections.
