In 2022, Grupa Cedrob deployed Comarch Optima as its ERP Financial application to consolidate payroll and statutory HR-finance processing across its HR and payroll operations in Poland. The implementation targeted payroll calculation workflows and document generation for statutory reporting for a workforce of approximately 7000 employees.
Comarch Optima was configured to handle core payroll modules including settlement of overtime, calculation of bonuses, allowances, severance pay, benefit payments by the contribution payer, salary classifications, and settlement of civil law contracts. The implementation also encompassed payroll adjustments, PIT processing and preparation of annual PIT declarations such as PIT-11 and PIT-4R, reflecting category-aligned payroll and tax automation capabilities typical of ERP Financial systems.
The system was used to produce statutory outputs and reports required by Polish authorities, including DRA, Z-15, Z-3, RP-7, IMIR, ZUA, ZWUA, ZZA, IWA and GUS reports Z-06 and Z-10, supporting submissions to the Social Insurance Institution and tax offices. Operational coverage extended to working time records, absence and leave tracking, personal file maintenance, issuance of employment certificates, and handling of enforcement processes such as bailiff classes.
Governance and operational handover included departmental support and end user assistance, with personnel specialists providing on-site support and training in the use of Comarch ERP Optima. Process changes focused on formalizing payroll calculation, statutory reporting and personnel documentation workflows within the ERP Financial application.

Comarch Optima HRM was configured to manage core personnel data and payroll processing, with functional coverage for employee master data management, payroll calculation and settlement, statutory declaration generation, and issuance of earnings and employment certificates. Configurations included data maintenance workflows for registering and deregistering employees with national social insurance, structured payroll cycles, and tax return preparation aligned with local statutory requirements.
Operational workflows were aligned with external administrative processes and institutions, supporting registration and deregistration with the Social Insurance Institution ZUS, preparation and submission of employee tax returns, and production of declarations required by the Tax Office, Central Statistical Office and PFRON. The implementation also supported coordination with external bodies such as bailiffs and government offices, enabling HR to produce the statements, summaries and reports required by law.
Governance for the Comarch Optima HRM environment was centered on HR and payroll specialists who maintained and verified employee data, controlled payroll runs, and prepared statutory filings. Processes emphasized documented verification steps, cross-department collaboration on HR and payroll issues, and routine report preparation for the Management Board.
