The implementation focused on transactions tied to load lifecycle management, with a requirement that drivers turn in daily load paperwork which was scanned and attached to each load record to support invoicing and collections. Functional capability emphasis included billing and invoice generation for email, fax and mail delivery, auditing of loads prior to invoicing, customer statement handling for special accounts, and cash receipt processing, recording deposits to the bank and into Quickbooks.
Operational coverage spanned accounting, collections, dispatch and planning, and controller support. The deployment supported spreadsheet reporting of current and overdue invoices, preparation and verification of com-data and t-chek efs checks, and close coordination workflows between dispatch planners and accounting to ensure documentation completeness for billing and DOT compliance in trip planning.
Governance was operationalized through daily document capture and attachment standards, defined audit checkpoints for load validation prior to invoice creation, and established handoffs between dispatch and accounting for exception handling and special customer payment resolutions. The system served as the central ERP Financial record for invoicing, payment posting and account reconciliation while enabling the controller and accounting staff to manage routine accounting inquiries and collections workflows.
