In 2014, GVK Power and Infrastructure Limited deployed SAP Document Management System as its Content Management solution to standardize document control across its operating companies. The program was executed in partnership with IBM Global Business Services and formed part of an integrated SAP ERP 6.0 rollout that included SAP Project System and the SAP Document Management System.
The technical deployment was built on IBM Power 740 Express servers running the IBM AIX operating system and IBM DB2 database, with IBM Storwize V7000 storage and IBM Tivoli Storage Manager for backup and retention. SAP ERP 6.0 and SAP Document Management System were configured to operate on this AIX DB2 platform, delivering centralized storage, version control, and metadata driven document retrieval for engineering and project artifacts.
Functionally the implementation centered on document lifecycle management for large infrastructure projects, coupling SAP Document Management System capabilities with SAP Project System to link project documentation to project planning and control records. The solution supported check in and check out, structured folders and indexing, and online report generation to surface project status and documentation compliance for project managers and planners.
Integrations were executed between SAP application modules and the underlying IBM DB2 database layer, with storage and backup integrated into the IBM Storwize and Tivoli stack to meet enterprise retention requirements. Operational scope covered GVK's extensive range of operating companies, impacting project planning, project controls, and finance processes by providing a single source of truth for project documents and associated project master data.
Governance and rollout were led jointly by GVK and IBM Global Business Services, establishing centralized document governance, role based access controls, and process changes to align document workflows with project and financial close cycles. Reported outcomes from the deployment included an expected acceleration of new infrastructure project ramp up by up to 45 percent and a reduction in month end financial close time by as much as 50 percent, driven by access to real time online reports for project planning and tighter control over project timelines and costs.
