In 2018, Hap Seng Consolidated implemented SAP Business One to deliver core ERP Financial capabilities supporting its vehicle wholesale operations and associated finance processes. The deployment was anchored at the Kinrara, Puchong IT hub where the Kinrara IT team provided application and infrastructure support for business systems across multiple Hap Seng locations.
SAP Business One was configured to manage the Vehicle Wholesale System workflow, including vehicle ordering, local content and accessories ordering, inbound logistics, vehicle assembly staging, vehicle allocation and preparation, invoicing and outbound logistics, with transactional posting into financial ledgers. Configuration work emphasized master data setup, order to cash orchestration, inventory and warehouse transaction controls, and financial posting rules consistent with ERP Financial practices.
The SAP Business One environment coexisted with Autoline IMS for parts wholesale and warranty claims and Autoline DMS for dealer operations, requiring coordinated data conversion and operational handoffs among systems rather than an exclusive single system footprint. Operational coverage included vehicle operations, parts and dealer facing business functions, and finance teams, with user support responsibilities spread across multiple sites and line of business units.
Governance and rollout followed a full SDLC cycle led by internal IT, covering user requirement study, system design and configuration, user acceptance testing, data conversion and software go live, plus end user training and infrastructure backup support. IT ownership included ongoing application maintenance, process improvement initiatives using SAP Business One as the systems enabler, and cross functional coordination between operations and finance for standard operating procedures and workflow stabilization.

The deployment was centered at the Corporate Head Office, Menara Hap Seng, Jalan P. Ramlee, Kuala Lumpur, and was aimed at processing monthly payroll for the conglomerate's assigned companies across its core business lines within the Payroll category.
Visual Solutions flexHR Payroll was configured to manage core payroll processing workflows, including monthly salary computation, statutory deductions remittance for EPF, SOCSO and Income Tax, personnel setup for new joiners, and maintenance of employment related records until employee exit. The system supported operational workflows for staff movement cases such as transfers, confirmations and resignations, and provided structured data capture for the IR Manager to support disciplinary and performance improvement plan cases.
Operational ownership remained with the Group Human Resource Payroll team, with a designated Payroll Executive role handling routine processing, timely remittance of statutory deductions and frontline response to employee payroll queries. The implementation emphasized procedural governance through documented payroll cycles, timely statutory submissions and up-to-date personnel filing, and the system was used to coordinate ad hoc payroll projects and data gathering as assigned by HR leadership.
