In 2021, Hapag-Lloyd implemented Coupa Invoice for AP Automation. The deployment targeted Accounts Payable and Finance operations, establishing Coupa Invoice as the central invoice intake and routing engine used by AP specialists to review and process invoices and expense reports and to serve as the vendor point of contact for payment inquiries.
Coupa Invoice was configured to support invoice capture, approval routing to requestors, vendor statement reconciliation, and payment orchestration. The implementation included operational tasks for reconciling open invoices, resolving brokerage disputes, and creating automations for task management using Power Automate. Coupa Invoice was also used to manage onboarding and testing of EDI application interfaces for facility customers, aligning invoice workflows with EDI document flows.
Integrations were implemented with the SAP system for invoice posting and payment execution, and with ACH payment setup workflows for vendor disbursements. The Accounts Payable team coordinated directly with operations to research payment processing issues from vendor statements of account, and the solution was instrumented to route invoices to the correct vendors and requestors within the organization.
Operational governance centered on AP specialist ownership for invoice processing, vendor communications, and escalation to the Ops team for dispute resolution. Processes included standardized routing through Coupa Invoice, reconciliation and reporting handoffs to SAP posting, and a formalized EDI customer on boarding and testing workflow.
