In 2020 Healthcare Ireland Group deployed Lightyear Accounts Payable as its AP Automation solution to centralize invoice processing for its network of 19 care homes in Northern Ireland. Lightyear Accounts Payable was positioned to eliminate paper workflows and provide a single pane dashboard for AP visibility across all sites, aligning the application category AP Automation with the organization’s need for centralized procurement controls and faster approvals.
The implementation configured core functional modules including automated data extraction and OCR for invoice capture, a central dashboard for operational visibility, automated approvals workflows, automatic statement reconciliation, price checking rules, and a tax gross up capability for non VAT claimable invoices. The archive and reporting capability was configured to produce spend reports by GL code, supplier, and care home location, enabling line level spend analysis and product level visibility for stock and food purchasing.
Operational integration was established with Sage Line 50 by exporting formatted spreadsheets from Lightyear and uploading them into the desktop accounting system, preserving existing Sage workflows while removing manual invoice posting. The deployment covered accounts payable and purchasing functions across head office and all 19 residential sites, and supported remote work continuity during COVID by enabling approvals and access without physical documents.
Governance changes included centralizing approvals at head office, eliminating paper sign offs, and restructuring invoice routing so missing documents and multiweek approval delays were reduced. Reported outcomes include immediate processing of documents, approvals reduced from as long as six weeks to minutes, approximately 50 percent reduction in AP processing time, and annualized cost savings reported as upwards of £50,000 through duplicate prevention, fee avoidance, and improved spend analysis.
