| Oracle | Legacy | Oracle NetSuite ERP | ERP Financial | ERP | n/a | 2016 | 2017 |
In 2016 HealthStream implemented Oracle NetSuite ERP to centralize its finance systems under the ERP Financial category. The deployment targeted finance, accounting, financial planning and analysis, revenue operations, and adjacent functions that support the Workforce Development Solutions leadership team.
Configuration focused on core financial capabilities within Oracle NetSuite ERP, including payments, revenue recognition, accounts receivable aging, allocation schedules, and journal entry workflows. Finance teams created saved searches, set up allocation schedules with monthly execution, and institutionalized a monthly revenue review and capex reporting process.
Integrations connected Oracle NetSuite ERP to analytics and automation tooling such as Adaptive Planning, Power BI, OfficeConnect, Power Automate, and Microsoft Excel, and included a NetSuite connector that schedules exports to SharePoint and an Azure blob container. The implementation also integrated NetSuite with a third party credit card processor, coordinated Avalara sales tax integration for acquisition activity, and maintained a customer cross reference between Salesforce and NetSuite for operational reconciliation.
Governance and operational ownership were established through NetSuite administration and finance process leads, including responsibilities for saved search maintenance, connector scheduling, InfoSec coordination for payment processing, and monthly reporting cadence. Financial leaders owned forecasting models with row level security, commission and royalty calculation workflows, automated journal entry generation, and tools to identify and correct mismatches in NetSuite.
Automation and bespoke tooling were significant components of the program, with Power BI financial models for revenue, expense, commissions, royalties and payments, Excel-based commission and CapEx engines that produce accounting entries, and automated exports and reports to support month end and operational reviews. These implementations show HealthStream using Oracle NetSuite ERP within the ERP Financial category to operate core finance functions, reporting, and transaction processing.

The TeamSupport SnapEngage implementation introduced session based conversational handling and a web chat presence that operates directly on healthstream.com for external users.
Configuration centered on a web chat widget, proactive messaging rules, canned response libraries and operator console functionality, providing persistent session transcripts and basic conversation reporting. The implementation leveraged conversational workflows typical of Chatbots and Conversational AI to standardize initial triage, route inquiries to support staff, and capture contact details for follow up.
Operational coverage is concentrated on HealthStream’s public website and is oriented toward support and customer success functions within the United States. Governance was organized around chat handling protocols, escalation rules and transcript retention workflows to align conversations with existing support processes and audit needs.
Administrative dashboards and conversation analytics were used to monitor chat volumes and agent activity, informing staffing and operational tuning without disclosing measured outcomes. The record emphasizes HealthStream, TeamSupport SnapEngage, Chatbots and Conversational AI as the core company application category relationship for web based customer support.
