In 2015, HFF deployed SAP Concur Expense as its Expense Management solution to centralize expense reporting and streamline AP-related charge allocation for the IT Department. The implementation targeted expense reporting for IT Department employees and supported Accounts Payable processing for IT, including reallocation of asset inventory charges, invoice processing, and procurement coordination for telecom and IT equipment, software, and accessories.
SAP Concur Expense was configured to support standard expense submission, managerial approval workflows, and charge reallocation fields used by AP and IT finance staff. Configuration emphasis included expense capture for device and service costs, workflow routing to surface nonstandard charges for review, and allocation controls to associate costs with asset inventories.
Operationally the solution was used alongside Gatekeeper and SharePoint for document and contract management and administration, while IT maintained primary support for wireless service transfers, plan changes, device ordering, and teleconference and webinar account setup. Governance focused on AP processing procedures for the IT Department, internal workflows for reallocating inventory charges, and ongoing monitoring and reporting of wireless plan overages to employees and managers, supported by administrators managing related databases and calendars.

In 2015 HFF implemented Oracle Taleo Learn as its first Learning and Development platform. The implementation established a centralized learning management capability administered by the internal training department to provision courses, enroll employees, and manage company-wide training communications.
Course development and authoring were built using Adobe Captivate 8, Illustrator, and Photoshop to produce online training modules, and Oracle Taleo Learn was configured to host the course catalog, enrollment workflows, and webinar scheduling for internal training events. Configuration work included structuring learning tracks, defining user roles and provisioning processes, and creating administrative workflows to support communications and department financial requests.
Operational scope concentrated on the training department and company employees, with responsibilities that included organizing internal training conferences, setting employees up with their training needs, managing training communications, researching vendors to streamline department activities, and handling check requests for the department. The Co-Owner and Business Manager role supported LMS design, course authoring, event coordination, and the operational governance of the learning workflows.

In 2014, HFF implemented Abila MIP Fund Accounting as its core fund accounting application. The deployment targeted the finance organization and was executed as a Non Profit ERP solution, with an explicit 24 month data conversion and reconciliation from Intuit QuickBooks Online into Abila MIP Fund Accounting configured for multi currency accounting.
The implementation centered on core modules and workflows including general ledger, accounts payable, accounts receivable, bank reconciliations, month end and year end close, and production of the monthly reporting package. Abila MIP Fund Accounting was configured to support multi currency transaction processing and to formalize close procedures and reporting used for executive director review and regional financial meetings.
Operational coverage included the corporate finance team where the finance manager supervised two senior accountants and one accounting consultant, allocating work to ensure timely and accurate transaction processing and close execution. The finance manager led hiring interviews and delivered training for new hires, and established accounting procedures aligned with company targets to standardize transaction handling and reconciliations.
Governance and process changes produced centralized journal control, standardized reconciliation signoffs, and consolidated monthly reporting workflows within Abila MIP Fund Accounting. The finance organization coordinated internal and external auditors through the new system to manage annual audits, and the implementation work included vendor selection responsibilities and management of the full conversion and cutover of two years of historical data.
