In 2017, Holman implemented OneSource Virtual AP Automation to centralize and standardize its accounts payable function. The OneSource Virtual AP Automation deployment focused on the companys shared services organization, bringing invoice intake and vendor payment workflows under a single AP Automation capability for 20 plus retail service locations.
Configuration emphasized automated invoice capture, rules-based routing and approval workflows, vendor payment processing and exception handling, and vendor master controls consistent with AP Automation best practices. The implementation included configurable approval chains, automated three way matching and exception queues to support high volume invoice throughput while preserving audit trails and segregation of duties.
Operationally the OneSource Virtual AP Automation instance was integrated into Holmans centralized accounting operations and consolidated general ledger structure, enabling standardized ledger mappings and consistent accounting treatment across sites. The deployment ran inside the shared services operating model that already centralized accounting for more than 20 locations and aligned AP processing with centralized payables and treasury interfaces.
Governance and process workstreams accompanied the technical rollout, with updated policies, approval workflows, training programs and KPI reporting instituted by the accounting operations and shared services leadership. The shared services team continued to direct the approval and payment cadence that processed approximately 4000 invoices per week totaling more than $8M monthly, while maintaining controls, documented workflows and monthly operating reviews.
