Epic Systems Legacy EPIC EHR Electronic Health Record ERP Services and Operations n/a 2014 2014
Hospital for Special Surgery implemented EPIC EHR in 2014. EPIC EHR was deployed to provide Electronic Health Record functionality across perioperative spine care, a 40-bed inpatient unit, and internal medicine ambulatory practice at HSS's New York flagship hospital. The implementation emphasized clinician-configured modules and templates, with Spine and Internal Medicine providers building order and note templates and embedding standardized clinical pathways for perioperative care. The team implemented an EHR multidisciplinary rounding tool and workflow templates that reduced interdisciplinary rounding time by 30 minutes, and standardized preoperative decolonization processes that lowered surgical site infection rates by 30 percent. Operational adoption extended into specialty practice management, including a documented transition of the Foot and Ankle service from CareTracker to EPIC EHR. Epic reporting was used to standardize interdepartmental communication and to optimize scheduling of preoperative appointments, while data analysis and targeted training of patient care associates improved EHR data capture. The deployment also included coordination with the organization’s billing service to improve charge capture and collections at the practice level. Governance and change management were clinician-led, with hands-on provider education, template libraries, and huddles to streamline front and back office workflows. Clinical leadership integrated EHR workflow changes with existing perioperative and consult services processes, and used multidisciplinary committees and teaching activities to reinforce new protocols across specialties. Documented outcomes tied to the EPIC EHR implementation and associated process changes include a 30 percent reduction in readmission rates, a 50 percent reduction in blood clot events, a decrease in average length of stay by over 24 hours, and external recognition as one of America’s Best Hospitals for Spine Surgery from 2017 to 2019. EPIC EHR served as the core Electronic Health Record platform enabling these clinical pathways, operational reporting, and practice management improvements.

Epic Systems Legacy Epic Caboodle (ex Cogito Data Warehouse) Data Warehouse Analytics and BI n/a 2013 2013
In 2013, Hospital for Special Surgery implemented Epic Caboodle (ex Cogito Data Warehouse) as its Data Warehouse to centralize reporting and analytics across clinical, perioperative and administrative functions. The deployment established a centralized data repository and a reporting fabric intended to serve provider, clinical, research and administrative stakeholders across the hospital. The implementation focused on extraction, transformation and load workflows to ingest data from the PICIS suite, Mediware PS database, PICIS OR Manager and SMARTRACK into Epic Caboodle, with enterprise reporting surfaced through the Epic Clarity environment. Functional capabilities delivered included standardized hospital wide reports, parameterized enterprise reports in Epic Clarity, custom queries based on screen build for data capture, and operational reports for Preference Cards and OR management implemented in collaboration with perioperative leadership. Operational tooling and technical configuration leveraged Microsoft SQL Server and Toad for SQL for query development and data staging, with downstream report generation using SAP Crystal, Microsoft Access and SAP Business Intelligence WEBI. Reports were deployed into PICIS and OR Manager for authorized stakeholders including OR administration, clinical staff, risk management and research, and used for external reporting to accreditation and regulatory entities such as JCAHO and state health departments. Program governance included documented business requirements documents and functional requirement documents, standardized report development and rollout processes, and cross functional collaboration with IT, the Director of Operations, the VP of OR and finance leadership. Financial reporting and dashboards were developed with clinical coding and terminology standards in mind, using ICD and CPT code sets and clinical vocabularies such as LOINC, RxNorm and SNOMED CT to align analytics with billing and clinical workflows.
