In 2018, Illinois Department of Transportation implemented Trimble AgileAssets Fleet & Equipment Manager to serve as a central Fleet Management platform within its Asset Management Program. The deployment used a specially configured and fully integrated combination of AgileAssets Maintenance Manager™ and Trimble AgileAssets Fleet & Equipment Manager to align software capabilities with IDOT's operational model for managing roadway and fleet assets.
The implementation included maintenance management and fleet lifecycle capabilities, with configuration for preventive maintenance scheduling, equipment tracking, and asset lifecycle workflows consistent with Fleet Management practice. The solution also incorporated a financial operations feature that helps IDOT manage account balances and a contracts and materials management feature explicitly configured to manage snow and ice removal procurement and materials usage.
The two AgileAssets applications were integrated to provide cross functional visibility between maintenance operations and fleet operations, supporting business functions that include maintenance, fleet operations, financial operations, materials management, and contracts administration. The software forms the core of what IDOT calls its Asset Management Program, and it was configured to support IDOT's unique business processes rather than using out of the box workflows.
Governance and process change centered on unifying asset and fleet records into a single program level system, standardizing workflows for equipment maintenance and seasonal materials contracts, and instituting the configured modules as the authoritative operational tools for those functions. The implementation explicitly supports management of roadway and fleet assets, financial account balancing, and snow and ice removal contracts and materials management as stated by IDOT.
