In 2019, International Bar Association implemented the AIM Events Management System from AIM Group International to orchestrate a flagship gala at Villa Aldobrandini. The Event Management application centralized event production, guest experience and logistics for an immersive baroque dinner and performance program.
The AIM Events Management System was configured to manage program scheduling, venue and site mapping, attendee registration and VIP seating, catering and service sequencing, and production cue lists for live performances. Configuration included timed cue management for video projection and lighting, detailed run of show sequencing for aerial and ground performers, and consolidated guest lists and seating charts to support dining rotations. Event Management functional terminology such as program scheduling, run of show, venue zones, and guest routing was used to align event operations with production and hospitality teams.
Operational coverage spanned the villa terrace, internal rooms, gardens, the nymphaeum and the Pavilion, with the system managing guest flows across multiple performance zones. The implementation coordinated production crews for staged performances, multimedia projection backdrops, pyrotechnic sequences and three planned firework displays, synchronizing timing across audio, lighting and performance cues. Business functions impacted included event production, hospitality and catering, safety and compliance workflows, and guest services.
Governance was established through a centralized control model with role based access for event managers, production leads and hospitality coordinators, supported by approval workflows for program changes and safety signoffs. The AIM Events Management System served as the single source of truth for the event and enabled tight orchestration of creative sequences and technical execution. The production was described as delivering an undeniable WOW factor for guests, closing the operational loop between creative design and live execution.
