In 2025, Kimpton Vividora implemented Factorial Time Off as its Absence and Leave Management solution to remove manual PTO routing and improve visibility for the 150 person property in Barcelona, Spain. The deployment targeted HR and department managers who were previously managing requests through spreadsheets and multi-step paper and email approvals, aligning the Factorial Time Off application with the broader Factorial HR suite deployed at the site.
Factorial Time Off was configured to automate PTO request submission, manager approval routing, and company calendar updates, reducing manual handoffs. The implementation used the platform’s native time tracking and scheduling capabilities to centralize shift planning and clock-in workflows, while document management and digital signature functionality were activated to consolidate employee records and onboarding files.
No external system integrations are explicitly documented, instead the project centralized functionality that had been scattered across separate payroll, shift scheduling, time control, data management, and digital signature tools. Operational coverage focused on HR administration, department heads, recruitment coordinators, and the general manager, while also addressing cross-border expansion challenges by creating a single repository for employee data.
Governance and process changes included replacing a three-layer manual approval path with automated manager approvals, automated calendar publishing for organization-wide visibility, and automated reminders for performance reviews and hiring stages. The rollout emphasized user experience and rapid adoption, leveraging the platform’s mobile and desktop clock-in with geolocation and Factorial AI assisted recruitment to streamline candidate prioritization and communication.
The recorded outcomes stated by Kimpton include elimination of much of the manual administrative workload, improved document organization, faster recruitment workflows, and higher scheduling transparency. Factorial Time Off and its adjacent HR modules enabled Kimpton Vividora to scale HR operations without increasing routine HR administrative effort, while improving visibility into absence and leave data.
