In 2016 Knowles Corporation implemented Oracle Cloud HCM Absence Management as part of an Oracle Cloud R12 Payroll and HCM program. The Itasca Illinois deployment ran June 2016 to June 2017 and provided production support for Core HR, Workforce Administration, Compensation Workbench, Absence Management, Taleo Learning Management, Taleo Recruiting, Payroll, Employee Self Service and Manager Self Service. The program was executed under the project title Oracle Cloud R12 Payroll and HCM Implementation and Production Support.
Oracle Cloud HCM Absence Management workstreams focused on configuration of general absence definitions, absence structures, absence formulas and rates, absence time periods, eligibility rules and PTO accrual plans. Configuration activity also included setting up key and descriptive flex fields, competence flex fields for competencies and key responsibility areas, organizations and locations, value sets, elements and element links, balances, fast formulas, salary basis and payroll entities. The implementation extended to HCM Data Loader and Payroll Batch Loader setups to support mass data loads and payroll extract automation.
Time and payroll integration used Oracle Time and Labor OTL and Oracle Projects interfaces. Deliverables included OTL elements and time information, self service time card configuration, automatic time card generation, disconnected time entry templates and the PRC Transaction Import process to transfer time to Oracle Projects. The team supported the interface between Oracle Project Accounting and Oracle OTL and defined payroll interface extract definitions to load time, absence and pension data into Payroll.
The project applied AIM methodology to create and maintain standardized documents and templates across the lifecycle, and established governance for configuration and testing. Governance covered creation of responsibilities, request groups and user access for Manager Self Service and Employee Self Service, development of test plans, and execution of functional, technical and user acceptance testing. Technical and migration documents for conversions, interfaces and extensions were reviewed as part of rollout controls.
Post go live and production support covered payroll pre processing, payroll processing and payroll post processing activities, pre payments, year end processes, W2 generation, NACHA and direct deposit operations, retro pay processing, adjustments, reversals and 401k setup. Oracle Cloud HCM Absence Management was integrated into these end to end HR and payroll operations to centralize absence, time and payroll data within the Absence and Leave Management program.
