| SAP | Legacy | SAP ERP ECC 6.0 | ERP Financial | ERP | n/a | 2017 | 2017 |
In 2017, Legal Aid NSW implemented SAP ERP ECC 6.0 as its core ERP Financial system to centralize corporate finance, asset accounting, and budgeting processes. The deployment emphasized SAP ERP ECC 6.0 FI/CO modules to deliver general ledger, cost center accounting, internal reporting, and fixed asset management for the corporate finance function.
Configuration work focused on Activity Based Costing-driven budgeting and forecasting workflows, lease modelling consistent with AASB 116 and AASB 117, and fixed asset classification and useful life reviews aligned to IAS 16. The finance team used SAP ERP ECC 6.0 to prepare and audit financial statements, apply corrections to P and L and balance sheet items, and produce monthly consolidated financial reports with variance analysis and documented mitigation strategies to minimise risks.
The program included a payroll migration where payroll was migrated from the Chris system to SAP payroll, with implementation activities conducted via scrum workshops to align allowances, payroll tax, workers compensation, and payroll-related expense cost center mappings to budget and actuals. Operational coverage centered on corporate finance and business unit reporting, and SAP ECC6 FI/CO was used to model staff headcount costs for approximately 2400 personnel while monitoring consultant and contractor costs.
Governance was finance-led, with corporate finance leaders preparing budgets, reviewing asset policy changes, and conducting research to identify cost drivers and areas for process improvement. The rollout combined ERP Financial module configuration with procedural changes to monthly reporting, audit controls over P and L and B and S corrections, and routine lease and asset policy reviews to ensure accounting standard compliance.

| SAP | Frontier Software Chris21 Payroll | SAP HCM Payroll | Payroll | HCM | n/a | 2017 | 2017 |
In 2017 Legal Aid NSW migrated payroll from Frontier Software Chris21 Payroll to SAP HCM Payroll, implementing SAP HCM Payroll as the organizationwide Payroll application to support employee related costs for a workforce of approximately 2400. The implementation was executed with active involvement from corporate finance, combining payroll configuration with budgeting workstreams that used Activity Based Costing and headcount cost analysis for other operating expenses and employee related cost planning.
SAP HCM Payroll was configured to capture core payroll elements including allowances, payroll tax and workers compensation, and to map payroll related expense lines to cost centers for budget versus actual control. The project leveraged SAP ECC6 FI and CO modules for financial posting and cost distribution, enabling consolidated financial reporting and monthly variance analysis that included payroll related expense centers and contractor and consultant costs.
The program included hands on migration activities and participation in scrum workshops during the SAP payroll implementation, aligning payroll configuration with established monthly reporting and governance processes. Finance teams used the integrated SAP environment to produce monthly consolidated financial reports with variance explanations, perform cost distribution to each business unit, and undertake lease modelling and fixed asset classification reviews in line with applicable accounting standards.
Operational coverage spanned corporate finance, payroll, and HR related budgeting and reporting processes rather than a single department, with ongoing analysis of headcount, allowances and payroll tax costs against budget and actual. The deployment anchored Payroll to the SAP ECC6 financial structure to support consistent cost center accounting and centralized monthly reconciliation and reporting workflows.

The deployment positioned Pega Case Management as the core system for intake, case routing and lifecycle orchestration across the organization.
Configuration and development work concentrated on standard Case Management capabilities including case intake, workflow orchestration, decisioning logic and document management. Technical development activities encompassed custom rule implementation, process modeling, version management and formal quality assurance cycles tied to release governance.
Integration architecture relied on Azure Integration Services to plan and develop interfaces, using API and message oriented patterns to connect transactional workloads. Explicit integrations included ATLAS, Justice Link, Pega Systems CCMS, Microsoft O365 and SharePoint Online to support client data exchange, court linkages and centralized document storage.
Governance and delivery were staffed by a Senior Integration Consultant assigned from April 2019 to March 2020 who handled technical development on new requirements and enhancements, effort estimation, version management and quality assurance while coordinating interface rollouts. Operational coverage focused on legal case operations, records management and collaboration workflows, with release management and interface versioning established as control points.
