In 2017, Lincoln College implemented V1 Invoice Automation to streamline its purchase-to-pay workflows and centralize invoice handling. V1 Invoice Automation, categorized as AP Automation, was delivered using V1 DbArchive document imaging technology tightly integrated with the college’s Symmetry Financials accounting system to provide image retrieval and workflow linkage directly from accounting records.
The implementation configured document scanning, imaging, and automatic linking of purchase invoices to the appropriate Symmetry record, together with Symmetry’s integrated workflow for approvals. Invoice approvers receive automated email links to view the imaged invoice and can approve, reject, or query on-screen, replacing multi-person stamping, physical signatures, and inter-site postal routing that had previously slowed approvals.
Operational access was provisioned for up to 70 authorised Lincoln College staff across three different sites by drilling down through Symmetry, supporting finance and accounts payable activities across 60 cost centres and multiple campus locations. Lincoln College also evaluated an additional V1 module, DbCapture, to introduce OCR capture of invoice data, a capability stated to reduce manual data entry by up to 80 percent if adopted.
Governance and process change focused on moving paper-based approval checkpoints into an electronic, permissioned workflow embedded in Symmetry, reducing reliance on external archiving suppliers. Outcomes reported by the college include a four day reduction in invoice approval time, elimination of document archiving costs, reclaimed storage space, thousands of pounds in savings, elimination of lost and misfiled invoices, and a reduction in printing and photocopying that supports the college’s carbon reduction objectives.
