In 2017 Louis Vuitton Australia deployed Flare HR Core HR to centralize core human resources operations for its Australia and New Zealand retail workforce, aligning HR administration with payroll and time capture processes. The Flare HR Core HR implementation covered employee master data, leave management, and HR reporting as the primary Core HR platform for retail business functions including payroll support and time and attendance coordination.
Configuration focused on full function payroll workflows and HR case handling, reflecting the organization running fortnightly and monthly payroll for 700 employees and processing manual timesheets for over 600 staff on a fortnightly basis. Implemented functional capabilities included commission and bonus calculation workflows, parental leave and termination processing, leave adjustments and accrual correction logic, superannuation and KiwiSaver handling, payroll tax treatment for Australia and New Zealand, and support for garnishments, child support and workers compensation calculations.
The rollout was delivered as a coordinated stack alongside payroll and time systems, with Flare HR Core HR implemented in conjunction with Flarepay payroll and a Kronos time and attendance system as part of the project team activities. Operational integrations supported Finance and HR reporting feeds, producing GL costing, costing reports, headcount data, service billing outputs and ad hoc reports to Finance, enabling reconciled payroll costing and operational reporting across retail sites in the region.
Governance and process redesign centered on formalizing payroll process documentation, ongoing maintenance of payroll controls and legislative compliance, and interpretation and application of EBAs and five applicable awards. The program included targeted remediation work to investigate and remediate leave accrual issues, backpay calculation fixes, and the development of updated payroll procedures to close identified gaps and align with current legislation.
Project outcomes documented include successful investigation and implementation of fixes for leave accrual issues and backpay calculations for affected employees, and establishment of regular Finance and HR reporting workflows to support costing and headcount tracking. The implementation positioned Flare HR Core HR as the authoritative Core HR system for HR administration and reporting across Louis Vuitton Australia’s regional retail operations.
