In 2021, MACA implemented Pronto XI ERP to consolidate and standardize core finance operations across its Group Finance function. The deployment targeted ERP Financial workloads and was used to support high volume accounts payable processing and supplier management at MACA sites including the Welshpool finance team.
The implementation concentrated on Accounts Payable capabilities within Pronto XI ERP including vendor master setup, invoice processing workflows, expense reconciliation, and imprest reimbursement handling. MACA staff used the Pronto XI ERP vendor account configuration to streamline supplier management while processing in excess of 1,000 weekly invoices, and they executed monthly credit card reconciliations along with travel, office rental, and car lease reconciliations through the system.
Operational coordination extended to project finance teams and project managers who received and actioned invoices, and to treasury processes that supported both local and international payments. The deployment emphasized transaction processing controls including ABN validation to confirm GST registration compliance and routine email inbox management for accounts payable inquiries and discrepancy resolution.
Governance and day to day operating model changes included formalized training and cross training of Accounts Payable Officers on Pronto XI ERP, structured handoffs to project managers for invoice approvals, and adherence to internal controls to mitigate financial risk. Reporting and analytics workstreams combined Pronto XI ERP transactional data with Excel VLOOKUPs and pivot tables for reconciliations and ad hoc accounting support.

Pronto XI HR was integrated with the MDS timesheet feed for bulk timesheet uploads and reconciliation, and the platform handled processing of child support agency payments to the relevant department. Operational coverage included a centralized payroll team of three payroll officers in MACA Mining supporting five legal entities including Mining, Infrastructure, Civil, Resources Interquip and a newly acquired company, with fortnightly payroll cycles for in excess of 2000 staff across four companies and approximately 650 employees in the acquired entity.
Governance and operational workflow relied on close coordination between payroll officers, site administrators and heads of department for weekly timesheet validation and leave approvals. Document retention, filing of payroll documents and maintenance of leave records were operationalized within Pronto XI HR as part of the payroll control model, embedding role based responsibilities for data entry, verification and payment orchestration.

The implementation operates alongside AMT in a dual CMMS environment, and planners export schedules from Pronto Xi Asset and Facility Management to Microsoft Project for Gantt style sequencing, while coordinating execution and meetings via Microsoft Teams. Operational coverage includes direct liaison with site superintendents, area managers, component sourcing coordinators and the purchasing department, and recurring monthly planning engagement with OEM representatives for component forecasts and availability.
Governance and process changes introduced structured planning windows, defined roles for long term and short term planners, and centralized creation of BOMs and Standard Jobs into the maintenance library. The rollout emphasized planner driven scheduling, component demand creation tied to purchase workflows, and ongoing master data stewardship to support Asset Performance Management across MACA's mixed fleet including Komatsu, Caterpillar, Hitachi, Liebherr and Epiroc equipment.
