Intuit Legacy Intuit QuickBooks Online ERP Financial ERP n/a 2013 2013
In 2013 Madison Parish Hospital configured Intuit QuickBooks Online as its ERP Financial system to centralize core accounting workflows for the hospital finance team. The deployment was adopted by accounting staff including a Staff Accounting Analyst and targeted day to day ledger maintenance and payables operations for an 80 person community hospital in Tallulah, Louisiana. Intuit QuickBooks Online was used to execute functional modules for accounts payable, expense management, purchase order and requisition maintenance, and automated property control for hospital equipment. The configuration supported auditing and entry of employee travel and expense reports, processing of more than 300 vendor invoices, inventory reconciliations, preparation of inventory and statistical fiscal reports, recovery reports, and year end 1099 reporting. Operational coverage centered on the hospital finance department with responsibilities extending to general ledger reconciliation and accounts receivable collections reconciled to hospital G L accounts for financial reporting. The system supported the accounting team acting as management liaison to independent auditors and coordinated workflow between A P and A R teams to align payment processing with revenue collections and forecasting. Governance and process changes accompanied the QuickBooks Online configuration, with internal audit controls and checks and balances instituted in the Accounts Payable department and payment authority and review procedures revised. Those controls contributed to an explicitly stated improvement in accounts payable posture, reducing A P balances from 45 days past due to 30 days current while working with the A R revenue department, and ensured payments and contracts were reviewed for compliance with policies, leases, and the hospital financial forecast before system processing.
