| Accruent | Legacy | Accruent Lucernex | Lease Management | ERP Services and Operations | n/a | 2012 | 2012 |
In 2012, MattressFirm implemented Accruent Lucernex as its Lease Management platform to centralize lease administration and real estate workflows across its United States store network. The deployment focused on institutionalizing lease compliance and document control for real estate and store operations, positioning Accruent Lucernex as the system of record for lease data and communications.
The implementation configured modules and capabilities to facilitate lease compliance activities by both Company and Landlord, process Sublease invoices and payments, and coordinate communications for store openings and closings. Functional workflows included landlord statement reconciliations, reviewing lease documents, scanning, logging and tracking lease documents, and gathering and disseminating information for ongoing operations and Real Estate Committee Meetings. The configuration supported tasking associated with external auditors, outside legal counsel, accounting and executive management, and incorporated standard SOX compliance steps into operational procedures.
Operational coverage emphasized cross functional integration with accounting, legal, real estate operations, store operations and executive management rather than named technical integrations, using Accruent Lucernex to route communications and reconcile landlord statements. Document scanning and logging workflows were instrumented to create traceable audit trails and to support recurring reconciliation and committee reporting, and roles were aligned to ensure departmental information sharing.
Governance and process changes centered on standardized procedures for landlord communications, auditor requests and committee reporting, with staff responsibilities assigned for disseminating and following up on landlord communications and for maintaining lease records. MattressFirm developed a strong level of competency utilizing Accruent Lucernex to support Lease Management processes and to coordinate operational, legal and financial stakeholders.
