In 2019, Appalachian Mountain Club implemented MineralTree TotalAP as an AP Automation solution to centralize and modernize accounts payable under Accounting Supervisor Mirzeta Mehuljic. The organization moved away from a heavily manual process that relied on printed invoices, mailed approvals, and forwarded emails, which made it difficult to track when invoices were sent to approvers and who had given approval, and created vendor relationship friction.
MineralTree TotalAP was configured to automate invoice capture and processing, including automated capture of header and line item information, centralized storage of mailed and emailed invoices, and invoice approver workflow rules. AMC established vendor profiles with default approvers so invoices route automatically to assigned approvers, and the system issues automatic reminders after three days of non response. The implementation also included MineralTree’s SilverPay virtual card payment capability, and MineralTree handled vendor match and enrollment for the virtual card program.
The deployment used a real time, API level integration with Microsoft Dynamics GP to ensure invoices could be posted back to the appropriate general ledger accounts and payments coordinated with the ERP. The MineralTree TotalAP interface provides timestamped approval tracking and remote approval capability, supporting AMC’s dispersed accounts payable team across multiple New England locations and enabling approvals and payment processing outside the headquarters environment.
Governance and operational outcomes were explicitly tracked in the rollout, with MineralTree providing ongoing customer success and support engagement. Appalachian Mountain Club reported earning thousands in rebates annually through SilverPay, with those rebates covering over 30% of the total cost of MineralTree. The accounts payable team no longer keys invoice data, prints and mails paper checks, or manually chase approvals, and the organization reports saving at least a day of work each week.
