The architecture operated on premises and integrated with Citrix for desktop access and a shared accounting program used by regional offices, enabling bidirectional information flow between the invoice repository and accounting workflows. Central storage and indexed metadata enabled targeted searches to assemble all invoices for a property, supporting lien filing timelines and product recall response activities. Index driven monitoring was configured to surface the last date of work on a property based on invoice criteria. Governance centered on digitized approval workflows and an auditable trail that allowed accounting staff to monitor approvals and strengthen internal controls, reducing manual routing and hard copy handling. HR centralized personnel file storage in DocuWare to maintain compliance with state and federal regulations while preserving access controls in the on premises environment. Andrea Templeton, Corporate Controller, reported that McBride achieved 15 percent revenue growth over two years and managed that growth without adding staff as a result of their investment in technology and DocuWare, and she noted employees were able to observe the return on investment from the system.

Operational coverage included support for Contract Administration staff across five separate county zones, ongoing reporting of bid and project status to multiple area managers, and collaboration with superintendents for bid evaluation and post mortem job reviews. Governance and process changes accompanied the rollout, with formal training of new estimating staff on Timberline Estimating and Accounting workflows, standardization of export formats for contract data, and delegation of responsibilities for commitments, timekeeping reviews and contract pricing maintenance. The implementation institutionalized end to end construction finance and estimating practices within the Construction ERP, aligning estimating, contract administration and field reporting processes under a consistent system.
