Configuration work aligned invoice capture with existing document ingestion tools, and validation rules were established for vendor details and payment information. Approval workflows were mapped to accounts payable roles and exception handling workflows were tuned to reduce manual routing.
The implementation integrated with Microsoft Dynamics AX for ledger posting and creditor management, and operated alongside MediusFlow for workflow orchestration, Kofax for capture operations, and EFTsure for payment validation as part of the end to end process. Operational coverage included processing of strata levies and council rates for the 50 plus properties, monthly reconciliation of creditors statements, and day to day vendor master maintenance. Business functions directly impacted were Accounts Payable, treasury and property finance teams responsible for payments and reconciliations.
Governance and process changes emphasized centralized vendor setup and bank account maintenance, with AP officers retaining responsibility for vendor onboarding and monthly reconciliations. Roles and approval authorities were codified into the workflow engine to enforce control over invoice approvals and creditor statement reconciliation. Operational ownership remained with the accounts payable team, which executed vendor setups, exception resolution, and periodic reconciliations within the Medius AP Invoice Automation framework.
