In 2012, Mondelez Europe implemented SAP Concur Expense to manage executive spending for the Chocolate business. SAP Concur Expense was deployed as the core Expense Management application supporting the President of Chocolate and four directors, and it was used to standardize expense capture and reporting across Switzerland and broader European meeting locations.
The implementation focused on expense report creation and routing, approver workflows for executive-level reviews, and the administrative preparation and submission of expense reports to the Shared Service Centre. Configuration emphasized executive assistance workflows, Outlook calendar alignment for agenda and travel-related expense timing, and the preparation of meeting materials and catering costs as routable expense items.
Operationally the expense environment was coordinated with BCD Travel Management and Online Booking for travel itineraries, and expense processes referenced both GERS and SAP Concur Expense as part of the executive travel and expense lifecycle. Day-to-day operations were also aligned with internal SAP and iShop processes for vendor procurement and purchase order creation, and expense report follow-up with the Shared Service Centre.
Governance included training and induction of new employees up to manager level on SAP, iShop, and the expense system, structured follow-up of appointments and conference tele-presence logistics, and administrator tasks such as PO creation and vendor payment tracking. The deployment covered finance and marketing leadership support functions and centralized expense processing responsibilities for the chocolate leadership team.
