| Workday | Oracle PeopleSoft ERP | Workday Financial Management | ERP Financial | ERP | n/a | 2015 | 2016 |
In 2015, the New York Public Library implemented Workday Financial Management as its ERP Financial solution. This deployment followed an earlier Workday HCM rollout and replaced Oracle PeopleSoft ERP for the library’s core financial processing, after a selection process that reviewed the prior incumbent, a major competitor and Workday.
The implementation provisioned and configured General Ledger, Accounts Payable, Accounts Receivable and Purchase Order modules, Fixed Assets was not installed. The solution was tailored to handle NYPL’s complex endowments and budgeting requirements, and the program applied disciplined tagging and master data practices analogous to the library’s digital-asset tagging to improve curation and reporting of financial records.
Deployment was delivered as a cloud-first architecture, aligning with NYPL’s multi-year move to cloud applications, and Workday Financial Management was integrated with a mix of custom internal applications, best-of-breed library systems and third-party commercial banks. Workday integration tools were used for many connections, and a major systems integrator working with NYPL staff executed much of the integration work, with a substantial portion completed virtually and only key process re-engineering requiring on-site engagement. The organization also stores large digital assets locally and on Amazon Web Services, creating parallel data sovereignty and access-rights considerations that influenced governance practices.
Operational scope and governance tied the finance implementation to an 85-person technology team supporting 92 locations, 17 million patrons per year and a 51 million item collection, and NYPL’s legal team continued to manage copyright, access rights and data sovereignty questions for digitized assets. Financial benefits or cost differences were not a primary decision driver, instead cloud functionality and a single system of truth guided adoption. Outcomes reported by NYPL leadership include automated onboarding reduced from weeks to seconds across three integrated systems, expense processing that is 100% automated and paperless, improved mobile-enabled reimbursements, and persistent cloud availability during historical outages.

In 2021, New York Public Library implemented iCIMS Recruit Applicant Tracking System as the Applicant Tracking System on its public careers site. The deployment placed iCIMS Recruit directly on NYPL.org to centralize job postings and online candidate intake, establishing the career site as the primary applicant capture and screening channel for the organization.
The implementation configured core Applicant Tracking System capabilities, including job requisition publishing, candidate profile capture, applicant tracking and pipeline stages, interview scheduling, and offer management workflows. iCIMS Recruit was used to present branded job listings on the public website and to manage candidate lifecycle tasks common to an Applicant Tracking System, with vendor-hosted career site functionality driving application flows and candidate self-service.
Operational ownership was aligned to talent acquisition and HR functions, with the system supporting recruiter and hiring manager workflows, requisition approvals, and standardized candidate pipelines across the New York Public Library. Governance focused on career-site integration and recruiter workflow configuration to ensure consistent sourcing and screening through the iCIMS Recruit Applicant Tracking System, while the public website remained the front-end recruitment channel.

In 2013, New York Public Library implemented Google Workspace (Formerly Google G-Suite) as its primary Collaboration platform. The deployment is visible on the NYPL website and was provisioned to support the institution in the United States, covering functions across public services, research and collections, and administrative staff for an organization of approximately 3,150 employees. Google Workspace (Formerly Google G-Suite) was adopted to centralize email, document collaboration, calendaring, and meeting workflows into a single cloud suite serving both internal teams and public-facing interactions.
Configuration and operational use align with core Collaboration modules such as Gmail, Drive, Docs, Sheets, Calendar, Meet, and the Google Workspace Admin console for user provisioning and access control. Typical Collaboration capabilities in use include real-time co-authoring, shared drives for team content, cloud file storage, and calendaring for scheduling, which support business functions including communications, content creation, event coordination, and distributed staff collaboration. Public site evidence on nypl.org shows Google Workspace artifacts and links incorporated into web workflows, indicating the suite is operational for internal collaboration and public engagement.
