Deployment was delivered as a cloud-first architecture, aligning with NYPL’s multi-year move to cloud applications, and Workday Financial Management was integrated with a mix of custom internal applications, best-of-breed library systems and third-party commercial banks. Workday integration tools were used for many connections, and a major systems integrator working with NYPL staff executed much of the integration work, with a substantial portion completed virtually and only key process re-engineering requiring on-site engagement. The organization also stores large digital assets locally and on Amazon Web Services, creating parallel data sovereignty and access-rights considerations that influenced governance practices. Operational scope and governance tied the finance implementation to an 85-person technology team supporting 92 locations, 17 million patrons per year and a 51 million item collection, and NYPL’s legal team continued to manage copyright, access rights and data sovereignty questions for digitized assets. Financial benefits or cost differences were not a primary decision driver, instead cloud functionality and a single system of truth guided adoption. Outcomes reported by NYPL leadership include automated onboarding reduced from weeks to seconds across three integrated systems, expense processing that is 100% automated and paperless, improved mobile-enabled reimbursements, and persistent cloud availability during historical outages.
