In 2021, NG Bailey Group deployed OpenECX eInvoicing as an AP Automation solution to streamline invoice processing across its UK operations, integrating with multiple ERPs including COINS and IFS. The implementation focused on enterprise invoice intake and processing, centralizing electronic inbound invoices to reduce manual handling and improve transaction accuracy.
The deployment used the OpenECX Invoicing module to implement automated invoice capture, validation, and routing, with explicit configuration for split-company invoice mapping to support NG Baileys group structure. Invoice exception handling and structured supplier onboarding workflows were configured to simplify vendor enrollment and accelerate dispute resolution.
Integrations were executed directly into COINS and IFS and extended to other ERPs in scope, enabling a single AP orchestration layer to feed downstream finance systems. Operational coverage centered on finance and accounts payable teams in the UK, with invoice transformation and mapping rules applied at the gateway to standardize postings across company entities.
Governance changes emphasized centralized AP orchestration, standardized supplier onboarding, and clarified ownership for invoice exceptions to speed issue resolution across split-company mappings. Reported outcomes in the vendor case study included improved speed and accuracy in invoice processing and simplified supplier onboarding following the OpenECX eInvoicing deployment.

| COINS Global | Legacy | COINS ERP | Construction ERP | ERP Services and Operations | n/a | 2018 | 2019 |
In 2018 NG Bailey Group implemented COINS ERP as a single cloud hosted platform intended for use across the entire business, aligning the deployment to the Construction ERP category to support finance, procurement, HR and project delivery functions. The implementation targeted a unified operational architecture, consolidating divisional variations onto standardized COINS ERP+ desktops and role based access to ensure consistent workflows and secure information sharing across site based teams and head office functions.
Configuration work focused on replicating and refining existing processes into COINS ERP+ modules, including invoice processing with Problem invoice and Missing ticket workflows, approval rules and tolerances, HR onboarding and role based access, COINS ERP+ Forms for PDF outputs, and tax features for Domestic reverse charge and Making tax digital. User experience improvements were delivered through customized COINS desktops, multi tab navigation, bulk upload and export capabilities, and widget based at a glance information surfaces to speed routine transactions.
Operational coverage extended across departments such as finance, procurement, HR, transactions, and project delivery, with site based teams given direct access to order, supplier and certificate details within the platform. A dedicated NG Bailey COINS portal was developed to host role structured guidance, training videos and discussion forums, supporting a self supporting ICT capability and ongoing user support without reliance on external implementation partners.
Governance and process change included a move to role centric security groups built into COINS, a deliberate programme of process standardization to eliminate off system practices, and a structured change management approach led by named internal leads including Haroon Esmail as ICT Project Manager and Steve Barnett as Business Change Manager. Configuration and technical oversight was led by Andrew Stickland and Ryan Smith, with programme management provided by an independent consultant, establishing clear ownership for configuration, training and support handover to business teams.
NG Bailey identified nine explicit business benefits after the COINS ERP+ deployment, including improved remote working via single sign on, streamlined invoice handling and procurement workbenches, faster onboarding through role based access, improved everyday functionality for end users, digitisation of VAT and tax processes, enhanced security through rationalized security groups, and greater operational empowerment of business teams. The narrative positions COINS ERP as the core Construction ERP platform that centralized transactional processes, increased transparency for query resolution, and fostered closer working between business functions and ICT.
